The short answer
Short answer
You don't need a complicated project management system. You need one shared list where every task has one owner and one due date, and a five-minute check-in to keep it honest. A free plan of a task tool such as ClickUp or Zoho Projects is enough for most small teams to start.
The tool matters less than the rule: if it's not on the board, it doesn't exist.
Signs you need one
- You've said "I thought you were doing that" more than once this month.
- Customer requests live in texts, emails, sticky notes and your head.
- You can't go on holiday without everything stopping.
- Staff ask you what to do next, every day.
business.gov.au lists project management among the digital tools businesses can use beyond marketing, alongside accounting, staff scheduling and CRM. (business.gov.au)
Fix it: the minimum setup (under an hour)
Step 1: Pick one tool and one board (10 minutes)
Start with one board for the whole team, not one per person or project. Create columns: To do → Doing → Waiting on someone → Done.
Step 2: Set three rules (5 minutes)
- Every task has one owner. Not "the team".
- Every task has a due date. Even a rough one.
- If it's not on the board, it doesn't exist. Requests by text or in passing get added by whoever received them.
Step 3: Empty your head onto it (20 minutes)
Add everything currently in progress or promised to customers. Assign owners and dates.
Step 4: Turn on reminders and recurring tasks (10 minutes)
Weekly invoicing, monthly reports, quarterly checks: set them once as recurring tasks.
Step 5: Hold a 5-minute daily or twice-weekly check-in (ongoing)
Look at "Doing" and "Waiting". Ask: what's stuck, what's overdue, who needs help.
Step 6: Review after two weeks (15 minutes)
Is everyone using it? Simplify anything that isn't working, rather than adding features.

Frequently asked questions
Can't we just use a shared spreadsheet?
You can, but you won't get reminders, recurring tasks or notifications. Once more than two people are involved, a task tool usually saves time.
How do I get staff to actually use it?
Lead by example: assign your own requests through the board, and stop accepting "I'll remember" for anything that matters.
Should customer requests go on the board?
Yes, as tasks with an owner. For sales follow-ups, a CRM is better. See how to follow up leads automatically.
Is it safe to put business information in these tools?
Turn on two-factor authentication and give each person their own login. See our 2FA guide.
