The short answer
Short answer
Spend one week writing down every admin task you do and how long it takes. Then automate the three biggest. For most small businesses those are: invoicing and chasing payments, following up enquiries, and repeating weekly tasks. Software you may already pay for can usually handle all three.
Don't buy anything until you've done the audit. The point is fewer evenings, not more apps.
Why it matters
- Admin time is time you're not paid for, or time away from family.
- Manual work causes mistakes: missed invoices, forgotten follow-ups, double entry.
- business.gov.au suggests automating. Among example goals for a digital strategy, it lists "automate one or more time-consuming tasks" and "move to a cloud-based accounting or customer relationship management (CRM) system." (business.gov.au)
Fix it: step by step
Step 1: Run a one-week admin audit (5 minutes a day)
Keep a simple log:
Task | How often | Minutes each | Could software do it?
-----------------------------|------------|--------------|----------------------
Writing & sending invoices | 8 / week | 10 | Yes – invoicing software
Chasing late payments | 4 / week | 15 | Yes – automatic reminders
Replying to enquiries | 10 / week | 10 | Partly – CRM templates
Following up quotes | 5 / week | 10 | Yes – CRM reminders
Weekly supplier order | 1 / week | 30 | Partly – recurring task
Booking appointments by text | 12 / week | 5 | Yes – online booking
Step 2: Rank by total time (10 minutes)
Multiply "how often" by "minutes each". The top three are your targets.
Step 3: Automate invoices and payment chasing (1–2 hours)
Use accounting software to send invoices, take online payments and send reminders automatically. business.gov.au recommends you "use accounting software to manage invoices, sales and customer accounts." (business.gov.au) Full guide: Clients pay late and I hate chasing them.
Step 4: Automate follow-ups (1 hour)
A free CRM can remind you to follow up quotes and store reply templates. Full guide: Leads go cold because I forget to follow up.
Step 5: Put repeating tasks on autopilot (30 minutes)
Create recurring tasks for weekly and monthly jobs, and assign them to the right person. Full guide: simple task management for a small team.
Step 6: Write templates for anything you type twice (1 hour)
Quote emails, welcome emails, "we're running late" texts, FAQs. Save them where you'll use them (email, CRM, phone).
Step 7: Re-check in a month (15 minutes)
Repeat the audit for two days. Count the hours you got back, then pick the next target.

Frequently asked questions
What admin tasks are easiest to automate?
Invoicing and payment reminders, follow-up reminders, recurring tasks and appointment booking are common candidates.
Should I hire a virtual assistant instead?
Maybe, for tasks that need judgment. Automate the repetitive parts first so you're not paying someone to copy and paste.
How much time will I save?
It depends on your business. That's why the audit matters: measure before and after.
Do I need an all-in-one system?
Not necessarily. See choosing all-in-one business software.
