The short answer
Short answer
- Best for most small businesses: HubSpot. A free CRM with "no expiration date", plus free email and forms. Easiest place to start.
- Best free option for a team of 3: Zoho CRM. "Forever free, for 3 users", with workflow rules included.
- Best for a team that lives in its sales pipeline: Pipedrive. No free plan, but follow-up sequences start on its Growth plan.
A CRM is just a shared list of who you're talking to and what happens next. Pick the one your team will open every day.
What a small business actually needs from a CRM
Ignore the long feature lists. For a team of 1 to 20, five things matter:
- One place for every lead and customer. No more sticky notes or inbox searching.
- A simple pipeline. Four or five stages, such as New, Quoted, Won and Lost.
- Reminders. Every open deal has a next step with a date.
- Email that links to the contact. You see what was sent, and when.
- Easy access control. You can add and remove staff in minutes. That matters on the day someone leaves (see our offboarding guide).
Automated follow-up sequences are a bonus. They help, but they often sit on higher plans.

Set up your CRM in an afternoon: 5 steps
Step 1: Gather every open lead (20 minutes)
Export contacts from your email, spreadsheet or phone. All three CRMs import from a spreadsheet.
Step 2: Create 4–5 stages (10 minutes)
Keep it simple: New enquiry → Contacted → Quote sent → Won / Lost. You can add stages later.
Step 3: Give every deal a next step and a date (20 minutes)
This is the habit that stops leads going cold. Our follow-up guide shows how.
Step 4: Save three follow-up templates (20 minutes)
One for "thanks for your enquiry", one for "following up on your quote", and one for "checking in". Only send marketing emails to people who agreed to get them.
Step 5: Lock down access (15 minutes)
Give each person their own login. Turn on two-step login for everyone. Our two-factor guide walks you through it.

HubSpot's free CRM suits most small businesses. Zoho CRM's free edition is a good choice for up to 3 users who want workflow rules.
Do I need a CRM if I only have a few customers?

Can a CRM send marketing emails?
HubSpot includes free email marketing tools. Pipedrive sells email campaigns as an add-on. For newsletters, see our easiest email marketing software guide.
How long does setup take?
About an afternoon using the 5 steps above. Getting the team into the habit takes a couple of weeks.
